ChatGPT Business vs Microsoft 365 Copilot

The useful question is not which AI is “best”. It is where your recurring work happens and whether the paid product removes enough work to justify another subscription.

Quick answer

Choose around the work you need the AI to do.

Choose Microsoft 365 Copilot if…

the recurring work is mainly inside Outlook, Word, Excel, PowerPoint and Teams and you specifically want AI grounded in Microsoft 365 work context.

Choose ChatGPT Business if…

you want a broader AI workspace for analysis, drafting, research, coding and work that crosses several tools rather than staying mainly inside Microsoft 365.

Choose neither yet if…

you cannot name two or three repeatable jobs that would save meaningful time. A vague intention to “use more AI” is not a buying case.

What actually changes the decision

Start with workflow fit, then price.

Decision factorChatGPT BusinessMicrosoft 365 Copilot
Where the work happensBetter fit when work spans a general AI workspace, files, analysis, coding and multiple connected services.Better fit when the work needs to happen directly in the Microsoft 365 environment.
Microsoft work contextCan connect to business tools, but it is not the native Microsoft 365 assistant.Designed around Microsoft 365 apps and organisational work context, subject to account, licence and permissions.
Coding and technical workA stronger reason to shortlist ChatGPT Business when coding or Codex-style work is a recurring business job.Do not buy it primarily for coding if the real requirement sits outside the Microsoft 365 workflow.
Small-team economicsCheck the current Business seat requirements and regular price against the number of genuine users.Check the qualifying Microsoft 365 plan, add-on requirements and regular price for every user who genuinely needs it.

What to do instead

If you do not yet have a repeatable AI workflow, do not buy a second business AI subscription.

Use the AI capability you already have access to, or a suitable existing account, to test one real recurring task first. That is cheaper and easier than paying for overlapping tools while the use case is still vague.

Write down the task, how often it happens and what a successful result saves. If the test does not produce a repeatable gain, stop there.

Decision

Microsoft-first workflow: test Copilot. Broader AI workspace: test ChatGPT Business. Unclear use case: wait.

Run the shortlisted product against two or three representative tasks before rolling it out. Do not keep both simply because they overlap differently; keep both only when each has a distinct recurring job that earns its cost.
