Xero vs QuickBooks: which is better for a UK small business?

If you are choosing from scratch, the useful tie-breakers are your accountant, the people who need access, the integrations you rely on and the tax workflow you actually need. If you already use one, switching needs a stronger reason than a temporary discount or a longer feature list.

Quick answer

New buyer: choose around the workflow. Existing user: stay unless the other product fixes a real problem.

Choose Xero if…

your accountant or bookkeeper already works in Xero, several people need access without per-user licence fees, or a must-have integration points clearly towards Xero.

Choose QuickBooks if…

its plan features, user limits and Intuit tools fit the way you run the business better — especially if your accountant or bookkeeper already supports QuickBooks.

Already use either?

Do not switch for cosmetic differences. Move only when the alternative solves a persistent problem, unlocks something you genuinely need, or creates a clear ongoing saving after migration effort is counted.

What actually changes the decision

Five checks are more useful than a giant feature table.

If none of these creates a clear advantage, the products are probably close enough that familiarity and switching cost matter more than small feature differences.

Accountant / bookkeeper fitA strong reason to choose Xero when the person doing or reviewing the books already works there.A strong reason to choose QuickBooks when your adviser already supports it or your finance process is built around Intuit.
People who need accessXero's current UK pricing states that its base plans have no per-user licence fees, although some included features carry usage or user allowances.QuickBooks uses plan-specific user limits: the current UK plans range from 1 user on Sole Trader Plus and Simple Start to 25 on Advanced, plus accountant access.
UK tax workflowCurrent UK plans are advertised as MTD for Income Tax ready, and the VAT-capable plans support VAT submission to HMRC.QuickBooks advertises HMRC-recognised MTD support. VAT functionality differs by plan, so check the exact plan against the tax workflow you need.
Must-have integrationsXero advertises integrations with 1,000+ apps. The useful question is whether your specific app works well with Xero.QuickBooks advertises integrations with hundreds of apps. Again, check the exact app you rely on rather than comparing catalogue size.
Switching costFor an existing business, migration, historic records, retraining, accountant workflow and connected apps are real costs. The alternative should solve a material problem before you move.

What to do instead

If neither product gives you a clear advantage, stay where you are and fix the irritation.

Review the current plan, clean up the bookkeeping process, remove unused add-ons and fix the specific problem first. That is normally cheaper and easier than migrating an accounting system for a marginal feature difference.

Choosing from scratch

Run one real workflow before you commit.

  1. Ask the person who will do or review the books.

If your accountant or bookkeeper strongly prefers one platform, understand why before choosing against that workflow.

  2. List the two or three integrations you cannot compromise on.

Confirm those exact connections rather than assuming a bigger app marketplace automatically means a better fit.

  3. Count the people who actually need access.

Compare the Xero access model with the user allowance of the QuickBooks plan that contains the features you need.

  4. Test a real invoice, expense, bank reconciliation and tax task.

A short hands-on trial will tell you more about day-to-day fit than another hour comparing marketing feature lists.

Price

Compare the regular plan price, not today's promotion.

Both vendors use introductory offers. Work out which plan supports the workflow above, then compare its normal ongoing price and any relevant add-on or usage charges.

Xero currently advertises no per-user licence fees on its base plans, while some features can incur usage or additional-user charges. QuickBooks Online plans have explicit user limits and optional paid additions such as payroll. Pricing and promotions change, so use the official plan pages immediately before purchase.

Decision

Choose for the workflow you will actually run — and make an existing system earn the right to be replaced.

For a new business, the better choice is the one that fits your adviser, users, integrations and tax workflow with the least friction. For an existing Xero or QuickBooks user, the burden of proof is higher: the other product should fix a persistent problem or produce a clear ongoing benefit after switching costs are counted.
